Windows printer shows offline

“Offline” on Windows usually means the PC cannot talk to the printer, or the print spooler is stuck. Confirm power and paper first, then the queue.

Clear the print queue

Settings → Bluetooth & devices → Printers & scanners → your printer → Open print queue. Cancel all documents. If jobs will not cancel, continue to the spooler step.

Restart the print spooler

Press Win+R, type services.msc, open Print Spooler, choose Restart. Then try a test page. This fixes most “stuck offline” queues.

USB vs Wi-Fi

USB: unplug, wait 10 seconds, use a different port on the computer, not a hub. Wi-Fi: print a network-config page from the printer menu and confirm it is on the same Wi-Fi name as the PC (not a guest network).

Remove and re-add the printer

In Printers & scanners, remove the device, restart Windows, then add it again from the manufacturer’s current driver, not a generic “Microsoft IPP” entry if the vendor supplies one.

When to get TechMax involved

If the printer works from a phone but not from Windows, or every job dies with error 0x00000006 / 0x00000709, a remote session can reset the spooler store and install the correct driver.
